Everything in Studio OS, one page

Bookmark this. Every screen, guide and card lives one click from here. Nothing changes for parents this season: StudioLab keeps registration, tuition and the family portal until January. Studio OS runs beside it for the day-to-day.

Sign-in: both staff screens ask for your name and a 4-digit PIN. The first time, you choose the PIN and enter it twice. The screen locks after ten minutes idle; enter the PIN again to carry on. Covering a class? Teachers pick Substitute teacher and type their name; the front desk has that PIN. Forgotten PINs are reset under Staff on the console.

The screens — live on your real roster

For the front desk

Front Desk Console

Today's classes with spots left, trials today, real rosters, any family in two keystrokes, follow-ups. Missed calls and notices are empty until something feeds them.

For teachers — iPad or own phone

Teacher Attendance

Pick your name (or Substitute teacher), today's classes, tap Here / Late / Absent. Reopen a class to fix a late arrival; every change after submit is logged. Marks save on the device only until next week's update.

For everyone

Help Center

34 searchable answers by role. Try searching “late” or “allergy”. Also reachable from the Help button inside the console.

Print these — one page each

Sits by the iPad

Taking attendance

The teacher card: sign in, pick the class, mark, submit, fix a mistake.

Sits at the desk

Running the day at the desk

The front desk card: what to read first, where each thing is, what to do when a dancer is not in class.

Staff manual

Front desk and teachers. Every help center answer as a printed binder, chapter by chapter. Rebuilt whenever the answers change.

Owner guide

For Orielle. The owner chapter first (classes, capacity, staff, the trial report), then everything the team reads.

Preview — this is January, not now

Family Portal

What parents will log into after the season switch-over. Sample family and sample prices; the buttons show the flow, they do not charge or save.

The data behind it

643
dancers — birthdays, medical notes, full season history
2,181
enrolments — class, day, time, room, instructor
281
classes — plus every trial since 2022

All of it sits in your Kanamé platform (connect.kanameplatform.com, the studio login) and is refreshed from StudioLab every morning at 12:05am. The weekly export is no longer anyone's job. Ask AI in Kanamé answers questions about students and enrolments.

Honest state

Reference from July — Smart List setup in Kanamé (Isabel)
Current vs. all-time — read first: the season filters (szn8-26-27, In Current Season = Yes, Season / Term = Season 8, Stream on a Season 8 enrolment) all mean this season. The type tags (has-comp-dancer, program-*, camp-attendee, dance-*) are cumulative — a family keeps the tag from any past season — so when you want current only, AND a season filter alongside the tag.
How to build & share each list

You know Kanamé well, so this is really just the filter map — roughly an hour total.

  1. Go to Contacts → Smart Lists (or the object's own list for the roster / headcount ones).
  2. Click + Add Filters, add the filter shown, then Save as Smart List and name it.
  3. Share it globally — set visibility to Everyone, not just you. This is the one easy-to-miss step.
  4. Want a visual first? See the segments & Smart Lists guide and the video library.
Families — win-back & operational (Contacts)
Smart ListFilterWhy
Lapsed — AllTag is lifecycle-lapsedThe whole win-back pool.
Lapsed — Churned after Season 7 (start here)Field Last Active Season is Season 7 (25/26)The hottest, easiest win-backs.
Active — Season 8Tag is szn8-26-27This season's families — reminders, upsells.
Competitive Families (current)Tag is has-comp-dancer AND Tag is szn8-26-27Current comp families only. The comp tag alone is cumulative — it also picks up past/lapsed comp families — so AND the season tag for "this season."
Toddler ProgramsTag is program-you-and-me OR program-twistin-totsParents of little ones.
Adult ClassesTag is adult-classesAdult-class promos.
Camp AttendeesTag is camp-attendeeSummer-camp remarketing.

Class rosters & counts (Enrolments object)

Built on the Enrolments object (left sidebar → Enrolments), not Contacts. Each row is one dancer in one class, so a class with 18 dancers is 18 rows.

Smart ListFilterWhy
Season 8 — all enrolmentsSeason / Term is Season 8 (26/27)This season's full class roster in one view.
By class (build the ones you use)Class Name is the class (+ Season / Term is Season 8)The roster for one class — every row is a dancer, and the list header shows the count (e.g. "18 Enrolments").
Competitive placements — Season 8Stream is Competitive (+ Season / Term is Season 8)Every dancer in a competitive class this season. Stream (Competitive / Recreational) is set on each enrolment, so it's exact — no guessing from names, and it can't pick up past seasons.
Recreational placements — Season 8Stream is Recreational (+ Season / Term is Season 8)The rec-class counterpart.
Recently droppedDropped On is not empty (+ Season / Term is Season 8)Who left a class this season — for follow-up.

Counts per class: filter by Class Name and the list header is the number of dancers — no separate report needed. To see every class at once with its number and click straight into a roster, use the Front Desk Console — the raw list can't group all classes into one counted view, but the console is built for exactly that.

Dancer headcounts (Students object)

Built on the Students object. These are per-dancer counts (families ≠ dancers), not email lists — lower priority than the lists above.

Smart ListFilterWhy
Active Dancers — Season 8In Current Season is YesTrue dancer headcount this season.
Alumni / Past DancersStudent Status is Past/AlumniDancer-level reactivation pool.

For competitive, don't filter the Students object — use the Competitive placements — Season 8 roster in the section above (it's set on the enrolment, so it's this-season-accurate).

Which columns to show in each list

Rule of thumb: make the filter field a visible column so each list explains itself (use the Manage Columns gear icon).

  • Family lists: Name · Email · Phone · Last Active Season · Account Balance · Overdue Amount · Tags
  • Roster lists: Enrollment Name · Student · Class Name · Stream · Instructor · Day · Time · Room · Enrollment Status (add Dropped On on the dropped list)
  • Headcount lists: Student Full Name · Gender · Competitive Level · In Current Season · Student Status

When you're done, open a few families you know and spot-check their info — balance, students, tags — and flag anything off to Justin.
